# Meetings and pipeline

Canonical: https://fortitudemedia.ai/insights/pillar/meetings-and-pipeline
Summary: How founder-led B2B firms get meetings with decision makers who fit: outbound that is legal and welcome, what it costs, and how to move beyond founder-led sales.
Short answer: Founder-led B2B firms get meetings with decision makers who fit by reaching the right people directly, with messages a person has researched, written and approved. Researched outbound reaches buyers before any assistant is asked, and it works alongside being named by AI. Under the ICO's guidance, cold email to UK companies and LLPs is legal if you identify yourself and offer a way to opt out. Judge any outbound provider on meetings held with buyers who fit, not on messages sent.

Most founder-led firms grow on the founder's network. Referrals, repeat clients and people who already know the founder bring in enough work, until they do not. Then the pipeline turns feast or famine, the founder is still the best salesperson in the building, and nobody else knows how to start a useful conversation with a stranger who could buy.

These guides are about getting meetings with decision makers who fit your firm, without spam, without breaking the law and without handing your reputation to a call centre. The topic is led by David Adams, our co-founder and CEO, who ran revenue at a SaaS business.

Our view is simple. Researched outbound, where a person researches each buyer and writes and approves every message, reaches buyers before any assistant is asked. That matters because buyers decide early: 6sense found that buying groups had ranked their preferred vendors before first contact in 94% of cases, and bought from that first choice 77% of the time ([6sense, 2025 Buyer Experience Report](https://6sense.com/newsroom/the-timeline-for-influencing-b2b-buyers-is-shrinking-insights-from-6senses-2025-buyer-experience-report/)). Outbound puts you on that list, and being named by AI assistants confirms the choice when the buyer checks. The two work together.

Start with the law. [Our guide to UK cold email law](/insights/cold-email-law-uk-b2b) explains the rules in plain English, including sole traders, bought lists and what to do when someone objects. Under the [ICO's business-to-business marketing guidance](https://ico.org.uk/for-organisations/direct-marketing-and-privacy-and-electronic-communications/business-to-business-marketing/), you can email companies and LLPs without consent if you identify yourself and offer a way to opt out, while sole traders and some partnerships count as individuals. The stakes rose this year: under the Data (Use and Access) Act 2025, PECR fines can reach £17.5 million or 4% of global turnover from 5 February 2026 ([Clifford Chance, February 2026](https://www.cliffordchance.com/insights/resources/blogs/talking-tech/en/articles/2026/02/key-aspects-of-the-data--use-and-access--act-take-effect.html)).

If any of these sound familiar, you are in the right place: a [pipeline that is feast or famine](/sound-familiar/pipeline-is-feast-or-famine), a founder who is [still the firm's best salesperson](/sound-familiar/i-am-still-our-best-salesperson), or a firm that has [outgrown word of mouth](/sound-familiar/we-have-outgrown-word-of-mouth). And if you will not send LinkedIn spam, you do not have to. In the outreach we run for [Helm Club](/work/helm-club), "The first message asks a question. No pitch, no link, and every reply gets a same-day answer from a person."

Guides on email deliverability and the sender rules, LinkedIn outreach without restrictions, appointment setting and what pay-per-meeting really costs, in-house versus outsourced SDRs, the first sales hire and what to do when word of mouth dries up are being added over the coming weeks. Each one is written to help you make a decision.

If you would like the meetings before you build the team, [Pipeline That Fills](/pipeline-that-fills) is our researched outbound service, and we judge it on meetings held with buyers who fit.

## Common questions

### Is cold emailing other businesses legal in the UK?

Yes, for corporate subscribers such as companies and LLPs, provided you identify yourself and offer a working way to opt out, according to the ICO's business-to-business marketing guidance. Sole traders and some partnerships are treated as individuals, so you need their consent or the soft opt-in. UK GDPR also applies when you email a named person, so you need a lawful basis, usually legitimate interests. Under the Data (Use and Access) Act 2025, PECR fines rose to £17.5 million or 4% of global turnover on 5 February 2026.

### Does outbound still work now that buyers ask AI assistants?

Yes. Researched outbound, where a person writes and approves every message, reaches buyers before any assistant is asked, and it works alongside being named by AI. A buyer who hears from you and then asks ChatGPT about your firm should find the same story confirmed. What does not work is volume: generic sequences sent to scraped lists damage your domain and your reputation.

### How do we keep cold email out of spam folders?

Google, Yahoo and Microsoft now expect bulk senders to authenticate their domains and make unsubscribing easy, and they filter mail that recipients mark as spam. Set up SPF, DKIM and DMARC, send modest volumes from a domain you have warmed up, and write to fewer, better-researched people. A message a buyer is glad to receive is also the one most likely to reach the inbox.

### Will LinkedIn outreach get my account restricted?

It can, if a tool sends connection requests and messages at volume. The safer approach is more personal: check each person's live profile first, open with a question rather than a pitch, and have a person answer every reply. In our experience, outreach that reads as if a person wrote it also earns more replies.

### Are appointment-setting and pay-per-meeting agencies worth it?

They can be, if you agree in writing what counts as a meeting. Pay for meetings held with a decision maker who fits criteria you set, not for meetings booked, and ask who writes the messages and where the data comes from. Nobody can guarantee what an AI assistant will say, but an outbound provider can guarantee its effort, its reporting and meetings held. Our own prices are on our What it costs page.

### When should the founder stop being the main salesperson?

When growth depends on how many hours the founder can spend selling, and word of mouth no longer fills the gaps. Write down how you win work first: who buys, what they ask and what makes them say yes. Then decide whether to hire a salesperson, outsource the outbound or do both, knowing that a first hire needs the founder's time, a clear list of buyers and months to get up to speed.

- [Is cold emailing other businesses legal in the UK?](https://fortitudemedia.ai/insights/cold-email-law-uk-b2b): Yes, for most businesses. Under PECR you can send marketing emails to companies, LLPs and Scottish partnerships without consent, as long as you identify yourself and give a working way to opt out. Sole traders and ordinary partnerships count as individuals and need consent. UK GDPR also applies to named contacts, so you need a lawful basis, usually legitimate interests, and must say where you got their details.
