Disclosure: we are Fortitude Media and Inbound, our AI reception department, is one of the two options compared here. Market figures are typical UK ranges, stated as ranges. Where a human service is the better buy, we say so.

The short answer

An answering service puts a person between your caller and voicemail: polite, scripted, and almost always ending in "I'll take a message". An AI receptionist answers the actual question, qualifies the enquiry, books the meeting into your calendar, sends the follow-up and writes the CRM entry, at any hour, in about a minute. Typical UK answering services charge per call, commonly £1 to £2.50, plus monthly fees, and a full-time human receptionist costs £22,000 to £28,000 a year before employment costs. Fortitude's Inbound department is £115 a week, billed monthly, cancel anytime, and covers phone, web forms, email and chat in one system with one memory. If your calls are rare and each is delicate, keep humans; for everything else the message-taking era is over.

What each option actually does

The answering service. A trained operator answers in your company name, follows a short script, takes the caller's details and emails you a message. Good services are warm and reliable. But they cannot answer "do you handle commercial conveyancing?" or "what would you charge for a rewire?", because they do not know your business; the script is the ceiling. Every call ends the same way, with the work returned to your desk: ring them back, answer the question, book the meeting, log the call.

The AI receptionist. Fortitude's Inbound department is trained on your business: your services, your pricing approach, your availability, your tone. It answers the question a caller actually asked, qualifies the enquiry against your criteria, offers times and books the meeting, sends the confirmation, and writes the whole exchange into your CRM. The same brain answers your web forms, email enquiries and chat, so the 6pm form-fill gets the same treatment as the 10am call. Complex or sensitive calls do what they should: route to a named human, with context attached.

The comparison, honestly

The arithmetic

Take a firm receiving 30 enquiries a week. An answering service at £1.50 a call with a modest bundle runs £250 to £400 a month, and every one of those calls still needs a human follow-up at your desk: at ten minutes each, that is 25 hours a month of skilled time, £1,250 at £50 an hour, hiding behind a small invoice. A receptionist at £26,000 costs roughly £2,700 a month loaded, answers only the phone, only in working hours. Inbound is £498 a month, resolves rather than relays, and the follow-up work largely disappears because it happened on the call. The cheapest option on the invoice is the most expensive one on the clock.

Speed is the other half. Buyers ring two or three firms and proceed with whoever helps first. An enquiry handled in about a minute, question answered, meeting in the diary, is a deal that never went to market. This is the same logic that drives our Outbound Calling department's callbacks.

Where the human options win

Honesty, as ever. If you take a handful of calls a week and each one is high-stakes and emotionally delicate, a bereavement-sector practice, say, a skilled human answering every call is worth every pound, and an answering service with a good script beats voicemail. If your callers are elderly or vulnerable and your brand is built on a familiar voice, keep the voice and let the AI handle the forms, email and overnight instead; Inbound covers whichever channels you give it. And if your phone simply never rings, spend nothing: fix the reasons it never rings first (our free visibility check is where we would start).

How it starts

Inbound goes live in days, not weeks: we train it on your site, your services and your rules, port or forward your number, and run it in AI Assisted mode, where every reply and booking queues for your one-click approval until you promote the routine ones to Autopilot. Regulated firms add Compliance Guardrails. Not sure Inbound is your biggest leak? The £1,500 Department Discovery, credited in full against your first four weeks, maps where enquiries actually go missing before you commit to anything.

Frequently asked questions

How much does an AI receptionist cost in the UK?

Fortitude's Inbound department costs £115 a week, billed monthly, cancel anytime. That covers phone, web forms, email and chat with one shared memory, including qualification, diary booking, follow-ups and CRM entries. By comparison, UK answering services typically charge £1 to £2.50 per call plus monthly fees, and a full-time receptionist costs £22,000 to £28,000 a year before employment costs.

What is the difference between an AI receptionist and an answering service?

An answering service takes messages: a scripted operator records the caller's details for you to action later. An AI receptionist trained on your business answers the caller's actual question, qualifies the enquiry, books meetings into your calendar and writes the CRM record, then escalates anything complex to a named human with context attached.

Can an AI receptionist handle complex or sensitive calls?

Its job on those calls is recognising them and handing over well: complex, upset or advice-adjacent callers route to your named human immediately, with the context captured so the caller never repeats themselves. In Assisted mode every response is human-approved anyway, and regulated firms can lock sensitive call types to human handling permanently with Compliance Guardrails.

Does it only answer phone calls?

No. Inbound treats every front door as one reception: calls, website forms, email enquiries and chat share the same knowledge, the same tone and the same record, so the 6pm form-fill is answered as well as the 10am call, and nothing falls between systems.

How fast is it live?

Days. We train it on your site and rules, forward or port your number, and start in AI Assisted mode with your approval on every action. Most clients promote routine action types, standard answers, diary bookings, to Autopilot within a few weeks.
